Custom AI agents can read context, choose among approved tools, and complete parts of a workflow. The useful question is which bounded job they should do in your business. For most companies, a narrow agent that handles one repeatable decision is more valuable than an open-ended assistant with access to everything.

SPECIFY THE JOB AND ITS LIMITS

Describe the trigger, available information, allowed actions, expected output, and cases that must go to a person. An agent might classify an incoming inquiry, gather CRM context, and draft a response. It should not silently change pricing or promise availability unless those actions are explicitly authorized and validated.

Choose APIs and data sources with stable identifiers, permission scopes, and test environments. Keep access as narrow as the task permits.

TEST MORE THAN THE HAPPY PATH

Evaluate missing fields, duplicate customers, conflicting instructions, stale knowledge, tool failures, and adversarial input. Record the agent’s actions and the information it used. Require human review for high-impact communication or transactions until evidence supports broader autonomy.

Separate model behavior from deterministic business rules. Use ordinary code for exact calculations, validations, and irreversible actions; let the agent handle ambiguity within clear boundaries.

OPERATE IT LIKE A PRODUCT

Track task completion, error rate, time saved, customer impact, and the cost of supervision. Review failures and update tests when the workflow changes. Version prompts, tools, and policies so results can be explained later.

A custom agent is justified when packaged software cannot represent the process and the expected benefit covers maintenance. Start small, earn trust, then expand permissions deliberately.
