An AI automation consultant should help you choose and operate a workflow that saves time or improves a business outcome. The assignment is not to install an agent everywhere. It is to understand the work, connect the right systems, define what the agent may do, and make exceptions visible to people.

START WITH A REAL BOTTLENECK

Good candidates include missed lead triage, open-quote review, knowledge retrieval, and data reconciliation. Observe the current process and estimate the volume, error cost, and human time involved. A flashy demo is not evidence that the workflow can run inside your permissions and systems.

Choose one narrow task with a named owner and a way to compare before and after. If the process is poorly defined, simplify it before adding AI.

ASK HOW THE SYSTEM WILL BEHAVE

Review which data the agent may read, which tools or APIs it may call, what it may write, and when it must ask for human approval. Require logging, error handling, test cases, and a shutoff path. For sensitive records, confirm access control, retention, and vendor terms before connecting production data.

The consultant should explain the integration in plain language and show how staff will handle a wrong answer or failed action. This is an operating system, not just a prompt.

JUDGE THE OUTCOME, NOT THE NOVELTY

Measure handling time, missed work recovered, response quality, qualified opportunities, or other relevant business results. Review the cost of models, software, maintenance, and human supervision. Keep the workflow only if it earns its place.

The right consultant can say when rules-based automation or a CRM change would solve the problem more simply. That judgment protects the budget and the customer experience.
