Take ten recent jobs and ten unsold estimates into a trial. Try to reconstruct who responded, what was promised, when the proposal went out, and which source brought the buyer in. If that is hard in the trial, it may remain hard after purchase.

Prioritize visibility and ownership over a long list of automations. Ask the vendor to demonstrate these with your records and devices.

Automation can remind a salesperson, draft a relevant message, or surface an estimate that has gone quiet. It should not send the wrong promise to a homeowner because a stage was misclassified. Keep an owner, sensible approval points, and a way to see replies and stop sequences.
Review the dashboard weekly with sales and operations. If an estimate has no next step, the system should make that obvious. If one source brings many inquiries but few sold jobs, the report should let you inspect why.
PLAN THE ROLLOUT AS CAREFULLY AS THE PURCHASE
Start with clean stages, a source convention, and a small set of required fields. Import only useful historical records, train the people who answer calls and create estimates, and audit a sample each week. Measure adoption alongside outcomes.
A good CRM implementation can reveal that the bigger opportunity is call handling, proposal speed, or reactivation. Software is the container; the operating process creates the return.
